Information we collect
When you contact us
If you use our contact form, we receive your name, email address, company name (if you give one) and your message. The website sends these to our business mailbox as an email and does not keep a copy. The form also includes two spam checks that are not linked to you: a hidden field that only automated programs fill in, and the time the form was loaded.
If you email us, we receive your email address, your name (if included) and anything you choose to tell us in your message or attachments. Please avoid sending sensitive personal information unless it is necessary for your enquiry.
When you visit the website
Like almost every website, the servers that host this site automatically record basic technical information about each request. These server logs typically include your IP address, the date and time, the page or file requested, the referring page, your browser and device type, and whether the request succeeded.
To protect the site from abuse, the application also keeps a short-lived counter of requests linked to a hashed form of your IP address. This is stored on our server (not on your device) and expires automatically: after about one minute for page views, and after ten minutes for contact form submissions. If a technical error occurs, our application error logs may record details of the request that caused it.
How and why we use it
UK data protection law requires us to have a lawful basis for each use of personal information.
| Purpose | Information | Lawful basis |
|---|---|---|
| Responding to your enquiry and any follow-up correspondence | Contact details and message content, from the contact form or email | Legitimate interests (responding to people who contact us) or, where you are asking about our services, taking steps at your request before entering into a contract |
| Protecting the contact form from spam and abuse | Hidden spam-check field, the time the form was loaded, rate-limiting records | Legitimate interests (keeping the form usable and preventing abuse) |
| Operating, securing and troubleshooting the website | Server logs, rate-limiting records, error logs | Legitimate interests (keeping the website available, secure and working properly) |
| Keeping business records, and establishing or defending legal claims | Correspondence and related records | Legal obligation, and legitimate interests |
Where we rely on legitimate interests, we have considered that our interests are not overridden by your rights and freedoms. We do not carry out automated decision-making or profiling.
Who we share it with
We share personal information only where necessary, with:
- Website hosting: AWS and Larvael Forge, which hosts this website and processes server logs on our behalf.
- Email services: Microsoft 365, which provides our business mailbox and delivers contact form messages to it.
- Professional advisers such as accountants or legal advisers, where needed.
- Regulators, law enforcement or courts, where we are legally required to do so.
Our service providers act on our instructions and are required to protect your information. We do not sell personal information.
International transfers
Some service providers may store or process information outside the UK. Where this happens, we ensure the transfer is covered by appropriate safeguards under UK data protection law, such as UK adequacy regulations or the International Data Transfer Agreement or Addendum. You can contact us for more information about the safeguards used.
How long we keep it
- Enquiries: kept for as long as needed to deal with your enquiry. If no working relationship follows, we delete them after 12 months. If you become a client, correspondence becomes part of our business records and is kept for as long as the law requires.
- Server logs: retained by our hosting provider for 12 months, unless needed for longer to investigate a security incident.
- Rate-limiting records: about one minute (ten minutes for contact form submissions).
- On the website itself: contact form messages are not stored; they exist only as the email delivered to us.
Security
The website is served over an encrypted HTTPS connection, sets no cookies, loads no third-party code and uses security controls such as a strict Content Security Policy. Contact form messages are sent to our mailbox over an encrypted connection. We limit access to personal information to those who need it. No method of transmission or storage is completely secure, so please consider this before emailing highly sensitive information.
Your rights
Under UK data protection law you have the right to:
- access the personal information we hold about you;
- ask us to correct information that is inaccurate or incomplete;
- ask us to erase your information in certain circumstances;
- ask us to restrict how we use your information in certain circumstances;
- object to our use of your information where we rely on legitimate interests;
- ask for your information to be transferred to you or another organisation (data portability), where applicable.
Some rights are not absolute and depend on the circumstances. We will explain if we cannot fully meet your request.
Making a request
To exercise any of your rights or ask a question about this policy, email hello@mjr.technology . There is normally no charge. We may need to confirm your identity, and we will respond within one month (which may be extended in limited circumstances, in which case we will tell you why).
